Design a tool enabling DTOs and IT departments to track application utilization, manage procured applications, and optimize processes while supporting Whatfix's multi-product strategy

Need for Enterprise Insights

The tool needed to enable DTOs and IT departments to track enterprise customers using Whatfix Digital Adoption tools over their application, manage applications, and monitor adoption of both applications and Whatfix tools

  • Data Synthesis & User Journey: Analyzed 12 customer calls (15 hours) to identify opportunities and pain points

  • Persona Identification: Added Business Unit Head/App Owner as secondary persona was needed to be identified
  • Concept Prototype:

    • Governance dashboard for application adoption tracking

    • Metric configuration panel for customizing thresholds

    • Application-specific adoption dashboards with recommendations
  • Feature Implementation:

    • License Governance - Upload and regulate purchased licenses

    • Summary Insights - Performance metrics for applications
  • Information Architecture: Implemented IA using Whatfix framework
  • Vision Prototypes: Created wireframes showing future capabilities

Challenges

  • Product knowledge of all Whatfix offerings helped make high-level decisions
  • Balancing visionary work with immediate feature releases was crucial
  • Synthesizing data enabled better-informed decision-making
  • Cross-product strategy was challenging to implement effectively
  • Limited clarity on product vision and goals made strategic decision-making difficult
  • Reduced PM accountability shifted vision-setting responsibility to design
  • The need to simultaneously craft both immediate solutions and long-term vision

Next Steps 

- Conducting prioritization exercises with the PM team to create a design timeline based on the impact & effort of the features.

- Creating a storyboard & visualizing the top 3 use-cases for ‘Enterprise Insights’
